This page covers the tasks. For the grid’s column behavior, the 1,000-row load limit, record IDs, and the CSV file format, see the Records reference.
Open the Records page
In the sidebar, open a workspace and click Records. The page shows one taxonomy at a time. When the workspace has more than one taxonomy, pick another from the taxonomy name at the top of the page. All Records under the dashboard menu shows records across the workspaces you can access. It is read-only: to build, clone, edit, or delete, open Records from inside a workspace.Find a record
- Search: type in Search records… to filter across every column.
- Sort: click a column header.
- Filter: click Filters to open the filter panel, or use a column’s own filter.
- Group: drag a column header onto the bar above the grid to group rows by that field.
- Show or hide columns: click Columns to show, hide, and reorder columns.
12 of 340 when a search or filter is active.
Save a view
A saved view remembers the grid’s layout (column order, visibility, pinning, sort, and grouping) and its active filters, under a name you choose, for one taxonomy.1
Arrange the grid
Set up the columns, filters, sort, and grouping you want to come back to.
2
Save it
Open the Views menu and choose Save as new…, then enter a View name.
Export to CSV
Click the download button (Download CSV) at the end of the toolbar. The export covers the whole taxonomy, not just the rows loaded in the grid, but it uses only the columns you have visible and applies your current filters and sort. To export everything, reset the view first.Build a new URL or record
Click Build URL at the top right of the Records page. The button reads New record for a taxonomy that has no tagged URL, short URL, or QR code field.1
Fill in the quick form
The submission builder opens in Quick mode for the taxonomy you were looking at. You can switch to another mode if you prefer.
2
Create it
Click the main button (Create URL or Create record). If the taxonomy requires review in this workspace, the button reads Submit for review instead; see Review and approve submissions.
3
Back to Records
Once the record is created, you land back on the Records page with the new row scrolled into view, selected, and highlighted.
Clone a record
Cloning makes brand-new records from existing ones. The originals are not changed.1
Select the records
Tick the checkbox on each row you want to copy. A bar at the bottom of the grid shows Selected: N records.
2
Click Clone
Click Clone URL (or Clone, for a taxonomy that does not produce links). One selected record opens in Quick mode; several open in the grid.
3
Adjust and create
Change what should differ (for example the campaign name or content), then create the records. You return to the Records page with the new row selected.
Change a record
1
Select the records
Tick the rows you want to change.
2
Click Edit
Terminus Hub creates a submission containing those records and opens it in the builder.
3
Make your changes and update
Edit the values, then click Update URL or Update record (or Submit for review when review is on). Once approved, the existing records are updated in place and you return to the Records page.
Delete a record
Select the rows, click Delete, and confirm (“This will create a submission to delete the selected records.”). You land on the Submissions tab with the new delete submission highlighted. The records disappear from the Records page once that submission is approved.Gotchas
- Nothing changes until approval. Build, clone, edit, and delete all create a submission. Until it is approved (or reviewed and approved), the Records page still shows the old data.
- Review applies here too. If the taxonomy requires review in the workspace, your submission waits for a workspace admin, and you land on the Submissions tab instead of back on Records.
- Workspace Admins and Members only. Viewers can browse, search, save views, and export, but they don’t see Build URL (or New record) or the Edit, Clone, and Delete buttons.
- Plan checks apply when a submission goes live (submitted for review or approved). Your plan sets how many records a single submission can carry. See Plans and limits.
